Our Perfect Day Collection is designed for clients who have worked hard to plan their event and want to enjoy the fruits of their labor. This allows clients to bask away in the glory of their day. Six-eight weeks before the event your coordinator joins the planning process. This includes a detailed meeting to ensure all items have been finalized, work with you to produce a staging guide, facilitate your rehearsal and manage onsite activities throughout the event from start to finish.

Planning & Coordination

  • Review all vendor agreements provided by client and begin drafting a detailed event timeline in collaboration with client and participating service providers along with ceremony order
  • Site visit to ceremony and/or reception locations
  • Vendor recommendations as necessary
  • Unlimited email and phone guidance within the 6-8 week window prior to event date
  • Design floor plan schematics as visual aid for ceremony arrangement and reception guest table/seating assignments
  • Confirm all vendor orders, arrival times and communicate venue’s procedures for unloading, set up and tear down to service providers
  • Distribute finalized client approved timeline to all vendors no later than 1-week before wedding date
  • Obtain set-up materials from client (i.e. menus, seating charts, place cards, favors, etc.)
  • Provide marriage license information and/or application
  • Manage and facilitate rehearsal

Day-of Coordination

  • Emergency kit on-hand to handle any accidents if they arise
  • Assist the bridal party with attire (i.e. bustle bridal gown, sew buttons)
  • Receive and confirm vendor deliveries
  • Supervise and manage vendor/service provider set-up and tear-down activities
  • Set-up personal décor items — place cards, table number, menu, favors, guest book, cake-cutting utensils, etc.
  • Manage logistics of guest-provided transportation from pick-up/drop off points
  • Greet guests upon arrival and assist with seating directions
  • Assist the ushers with seating plans and handing out of programs
  • Gather and cue bridal party and musician/DJ for ceremony processional
  • Manage beverage and meal service with catering personnel
  • Coordinate with band/DJ to establish timing for grand entrance, first dance, cake cutting, bouquet and garter toss
  • Handle final payments and gratuities to vendors
  • Transfer and secure all gifts and personal items to their pre-arranged location at conclusion of event

Post Event Activities

  • Return remaining items to client and/or vendors
